During my career, I’ve been very fortunate to experience the inner workings of hundreds of solid waste hauling businesses, both as a software vendor and as a waste hauler. These experiences, combined with my entrepreneurial mindset, have given me a rather unique perspective on the industry’s best practices.

Prior to getting involved in the software vendor side of the industry, I loved roll-off operations. With CDL in hand, I often found myself in the cab when we had drivers on PTO or to provide overflow capacity.

The dynamic nature of roll-off waste hauling made it much more interesting to me, and it also appealed to my entrepreneurial spirit due to its tremendous growth potential! Since then, I’ve spent over a decade writing software that digitizes all the tasks we used to do on paper.

Recently, a customer asked for guidance on best practices, and that’s been the catalyst for this blog post. I realized that while I was so focused on building software, I’d lost sight of my unique position to share insights. Here, I’ll share what I’ve learned to help improve customer experience, internal workflows, and overall efficiency.

Definition of Excellence

Excellence can mean different things to different people, so let’s define it clearly. 

In my view, the best-in-class customers I’ve seen have simplified their processes so much that they’d be efficient even with pen and paper. When they add software it allows them to scale up effortlessly.

By ruthlessly eliminating complexity from their business processes, they can onboard, service, and invoice new customers with minimal administrative overhead. They strike a balance between business risk, compliance, and process scope that suits their local region.

Eliminating Complexity

In the dynamic world of roll-off waste collection, where customers order boxes for construction and cleanup, operational excellence hinges on eliminating complexity. Here are key strategies to achieve this:

  1. Streamline Order Management: Simplify the ordering process for roll-off boxes. Create a straightforward process that captures all necessary information without overwhelming the customer or the administrative staff. Use clear forms with predefined options to reduce the steps needed to place an order, and have different flows for residents, businesses, and contractors. For example, residents should prepay for hauling and materials to avoid the hassle of credit checks. By combining these charges into a single “Delivery Code,” one-off customers can follow a streamlined process, making the experience smooth and efficient.

  2. Optimize Dispatching: Efficient dispatching is critical in roll-off operations. Implement a system that allows for real-time tracking and dynamic dispatching. This minimizes delays and maximizes the number of jobs completed per day. A simplified dispatch process reduces the risk of errors and enhances customer satisfaction.

  3. Standardize Pricing and Billing: Develop a transparent, easy-to-understand pricing model. The simpler your pricing model, the easier it is to create orders and enable customer self-service options. Simplified billing processes ensure that invoices are accurate and sent out promptly. Automate as much of the billing process as possible to reduce administrative workload and accelerate payment cycles.

  4. Enhance Communication: Clear and consistent communication with customers is essential. Use automated notifications to keep customers informed about the status of their orders, delivery times, and any changes. This reduces the need for manual follow-ups and improves the customer experience.

  5. Focus on Employee Training: Well-trained employees are crucial for maintaining streamlined operations. Provide comprehensive training on simplified processes and supporting software. Empower your team to handle tasks efficiently and independently. Encourage employees to question and eliminate unnecessary processes. Focus on why a process exists, not rules to enforce it.

  6. Implement Continuous Improvement: Operational excellence is an ongoing journey. Complexity likes to sneak up on you. An incident or local regulation can introduce new complexities that gradually increase the burden on your systems and staff. Regularly review and refine your processes to identify areas for improvement. Solicit feedback from both customers and employees to keep operations efficient and effective.

Balancing Business Risk and Compliance

Achieving excellence requires balancing business risks and compliance with local regulations:

  1. Risk Management: Identify potential risks in your operations and develop strategies to mitigate them. This could include ensuring safety protocols are followed, maintaining equipment properly, and having contingency plans for unexpected disruptions.

  2. Regulatory Compliance: Stay up-to-date with local waste management regulations and comply with all legal requirements to avoid fines and operational shutdowns. Simplified processes often make it easier to maintain compliance as they reduce the likelihood of errors. On the flip side, it’s important to eliminate processes that are based on outdated regulations. These can be harder to identify because many employees might not realize that the original reasons for these processes are no longer relevant.

  3. Scalability: Design your processes with scalability in mind. As your business grows, your operations should be able to handle increased volumes without becoming cumbersome. Scalable processes ensure that you can continue to provide excellent service without needing a complete operational overhaul.

Achieving Operational Excellence

Operational excellence in the roll-off line of business is not about adopting the latest software; it’s about simplifying and streamlining processes for efficient customer onboarding and invoicing. By eliminating unnecessary complexity, standardizing operations, and balancing risk management and compliance, waste haulers can achieve efficiency and scalability.

This approach not only improves operational efficiency but also enhances the overall experience for employees and customers alike. If you take one thing from this article, remember this: software should amplify already excellent processes, not compensate for flawed ones.

By fostering a culture of continuous improvement and utilizing the right tools, waste hauling operations can become more responsive to market demands and regulatory changes. Embracing these principles and practices will position waste haulers for long-term success in an increasingly complex and competitive industry.
