Though our list of benefits has greatly expanded since those early days, this still remains a laudable goal.

By it’s very nature, paperwork creates inefficiency. It has to be transferred from person to person in order to communicate its message. It can be misinterpreted or incorrectly transcribed. Worst of all, it’s 100% manual. In this digital age, where automation plays such a strong role in our daily lives, the case to switch from paper to electronic has never been stronger.

Given this, where can Routeware help you get rid of the paperwork that’s clogging your hauling operation?

Route Sheets. It is common for drivers to be handed a sheaf of papers on which are printed the sequenced route they are expected to run. Any exceptions on the route (skips or extras) are to be written on the sheets next to the customer’s name, then manually keyed into the routing/billing software.

Routeware automates that entire process. The route is presented to the driver electronically on an Rcore® on-board computer. Drivers use it to quickly enter all pickups they make, along with any exceptions. This data is transmitted back to the office in real-time, creating an efficient, seamless, and completely paperless data flow.

Log Books and Pre/Post Trip Inspection. Many drivers have to fill out log books to account for their time: when they went on break, when they went to the landfill or fueling station, etc. Some drivers also fill out pre- and post-trip inspection reports. With Routeware, handheld devices can transmit inspection results from the truck to Rcore. Also, every moment of offline time is tracked by Rcore, eliminating the needs for log books.

Reporting. The Routeware system replaces paper reports with up-to-the-minute information presented in a variety of ways: dashboard, customized alerts, and text messages to smart phones. Furthermore, data can be exported to Excel for further analysis—something paper cannot do without rekeying.

Customer Service. Instead of pulling route sheets out of file cabinet drawers, customer service agents can access pick-up status in real-time. This allows them to get through calls faster and arms them with objective, accurate information to address any customer complaints or concerns.

Invoicing. How automated can the invoicing process be? With our system, an extra is entered into Rcore, which transmits it back to the office in real-time. Based on its charge code, an invoice is automatically created and queued, waiting for approval from office staff before being emailed to a customer.

Are you weighed down by paperwork? Call Routeware at (877) 906-8550 and put the power of automation to work for you!

Among the many benefits, our products help haulers mitigate risk—a topic of interest to insurance carriers. Through real-time monitoring and post-route analysis, our system helps drivers, trucks, and the community at large stay safer by reducing the potential of accidents involving insurance claims.

Several Routeware customers have sat down with their agents and reviewed the features of their Routeware system. In concert with other safety programs, they have been able to secure lower premiums, contributing to the overall return on investment of their Routeware platform.

Here is a partial list of features you may wish to discuss with your insurance carrier.

Real-time tracking. On-board GPS, geofencing, and live vehicle tracking means the office knows the actual vehicle location at all times—including any unauthorized truck activity.

Speed Alerts. HomePort provides real-time alerts every time a driver exceeds a speed threshold that you set. Speed violation reports are also available in Routeware BackOffice to print and review with the driver.

Driver Evaluation. DriverPort paints a thorough, objective picture of virtually every aspect of driver performance—including safety issue logs and trend analysis.

Vehicle Preventative Maintenance. VehiclePort shows you real-time engine and transmission fault codes generated directly from your truck’s on-board computer. That means any issue affecting truck safety can be quickly identified and resolved, keeping your fleet safe while it’s on the road.

Driver Kiosk. With just a couple of button presses, drivers receive a route evaluation report at the end of their shift for review with their supervisor. These evaluations can also include discussions on safety violations.

Are there any issues you’ve discussed with your insurance carrier that have led to insurance premium reductions? Please post a comment and share them with the community.

The classroom sessions were a big hit (as was the Italian pasta lunch!)

In the afternoon, attendees heard a great presentation from AWTI, one of the industry leaders in on-board camera systems. Their pioneering use its integration with video.

At the conclusion of AWTI's talk, the conference broke up into groups to hear presentations from each of the routing software partners, who demonstrated their products and fielded questions about functionality and capability. These up-close demonstrations were heralded by conferees as very useful, giving them a chance to explore in more depth the rich feature set of each product.

Day 2 closed with a marketing presentation, focusing on the ways in which Routeware marketing can best serve the customer base. To say that some great ideas were generated is an understatement. Some terrific suggestions were put forth, all of which will be implemented.

Tomorrow's sessions will have a heavy focus on reporting: what additional data do customers need to get out of the system. The more the system can anticipate a hauler's need for information, the more system pays for itself.

Stepping back, today was as informative as it was busy. As the Routeware user community grows, the User Group Conference is becoming a cornerstone part of Routeware/customer relations.
The marketing crew at Routeware has been busy designing a new website which we just launched on February 5, 2011.

We took a simple approach when looking at new layouts for the site: you're busy. Whether you're a prospect or Routeware customer, you want to come to the site, get the information you need, and move on. That's why we've added some key features designed to make your experience at our website fast and efficient:

- Videos that let you learn about our product by watching, not reading
- Products and Services section that gives you high-level features of our entire offering
- Frequently-asked questions (FAQ) that list some of the most common pre-sales topics
- A clean, easy-to-navigate design

We'd be very interested in your feedback and suggestions. Let us know what you think...and enjoy the new site!

When a driver misses stops on his route, route supervisors are faced with two uncomfortable choices: incur expensive overtime hours to go back and collect the garbage or divert another truck off its scheduled route to render the service. These runbacks—having to service a client outside of the normally-sequenced order—can be the bane of trash hauling.

Here are ways in which a Routeware system can help reduce the expense and headache of runbacks.

Analyze why a driver is skipping stops. Rcore®, Routeware’s on-board computer, assigns a reason to every skipped stop. Analyzing these reasons can help uncover the root causes of runbacks. Is the gate always locked? Is there a traffic delay—for example, the pickup always occurs near a busy school zone?

Analyze route efficiency. If the route is too dense, a driver will struggle to get through all of the stops, invariably leading to runbacks. Through maps and reports, the Routeware system can help balance the route workload, eliminating overlaps and unnecessary deviations. This means more efficient routes that drivers can finish without overtime or runbacks.

Profile online vs. offline time. The amount of time a driver spends on breaks (be they mandated downtime or trips to the landfill or fueling station) directly affects the number of runbacks. The less time a driver spends idle, the more challenged he will be to complete his route. The Routeware system features complete online/offline profiling, including dashboards with excessive break time alerts. With these tools, drivers spend more time being productive, reducing the chance of runbacks.

Understand customer behavior. Despite the hauler’s best intentions, a customer may be responsible for their own runback. Being consistently late with their setout or expecting special treatment may put the hauler in an awkward spot, leaving only their word pitted against the customer in order to resolve a complaint. With its built-in 100% service verification (skip reasons, time/date/GPS coordinate recording, and digital photos), customer behavior can be quickly analyzed and changed with objective, fair information.

Reducing runbacks with the use of a Routeware system can save haulers the unfortunate expense of layering in the extra work on top of an already-busy route schedule. With very little effort, haulers can easily uncover and resolve issues behind problematic routes. Additionally, if runbacks are customer-caused, haulers running Routeware will be in a much stronger position to charge for the extra service—or not render it at all. This leads to increased revenue and decreased costs; the kind of bottom-line results that a Routeware system consistently delivers.

The same is true of preventative maintenance. Servicing a vehicle at the first sign of trouble saves a hauler the expense and hassle of repairing a crippled vehicle in the field and scrambling to reroute its remaining stops.

VehiclePort® from Routeware gives haulers the insight they need to see exactly what is ailing their trucks. VehiclePort analyzes the engine and transmission fault codes generated by the truck’s on-board Jbus (also known as the CAN bus or J1708/J1939). These codes indicate when something is awry with the vehicle; things like intake manifold issues or engine coolant problems.

With one click, users can get charts and tables that spotlight which trucks that need the most urgent attention. Additionally, VehiclePort provides alerts on how the vehicle is being treated. Behavior such as hard braking, jackrabbit starts, and excessive idling is flagged and sent back to the office in real-time.

Additionally, VehiclePort provides complete fuel economy monitoring. Consumption on a per-truck and a fleet-wide basis directly correlates with engine fault codes, letting you simultaneously improve vehicle performance and fuel economy. This dual functionality allows VehiclePort to deliver an excellent return on investment through fuel cost savings and avoidance of costly repair bills.

As with fuel economy, fluctuations in truck emissions can be an indicator of poor vehicle performance. VehiclePort can monitor diesel emissions by greenhouse gas, assigning each truck a Greenhouse Gas Score. Not only does this highlight potential maintenance issues, it allows haulers to reduce their carbon footprint and shows the communities they serve that they are at the forefront of the sustainability movement.

With vehicle health monitoring, driver tracking, fuel consumption trending, and emissions reporting, VehiclePort is the ideal tool to keep your fleet in optimal condition.

Increasing density means that the vehicle stays on the route the same number of hours, but is able to service more customers, thereby increasing the utilization of both the driver and the vehicle. Reducing route hours means picking up the same number of stops in a shorter amount of time, reducing both vehicle and driver expense.

Haulers use the Routeware system to study route density in two key ways. First, routes are mapped to show pickup locations, density patterns, and route overlaps. Second, analytics such as our Route Audit report gives details on stops/hour, stops/mile, and pickup trends.

By pairing this information, haulers can approach route sequencing with the goal of increasing density or decreasing route hours. For example, instead of thinking of routes linearly—that is, simply adding additional stops along a street—mapping tools can allow routes to be constructed by zone. New stops would be added to a zone based on route efficiency as opposed to geographical location.

Mapping can also eliminate zone overlaps and spotlight inefficient trips to landfills and fueling stations. Augmented by report data, the Routeware system can lead directly to an increase in route density or a decrease in route hours—a powerful component of making your hauling operation a leaner, tougher competitor.
Drivers are handed a stack of route sheets each day and told to write down any extra trash that they picked up. They fill out route books that log all of their route activity. Pre- and post-trip inspections are done using checklists and clipboards. Office staff transcribe all of this paperwork into their backoffice software programs in an effort to report on the information.

All this paper ends up draining the entire organization. Customers are put on hold while staff digs through the route sheets. Clerks waste time on manual data entry as they struggle to decipher driver handwriting. Management pours over limited and error-prone data, trying to find ways to improve the routes. This wastes valuable staff time that could be devoted to far more productive tasks.

An automation system from Routeware can eliminate virtually all of this burdensome paperwork. On-board computers become electronic route sheets, tracking every aspect of driver activity in the field. Integration between the truck and the backoffice means customer service information is available on-demand, in real-time. Manual data entry is all but eliminated, and managers have dashboards that instantaneously tell them what is happening with their drivers, routes, and trucks without ever pushing a button.

The cost savings to the hauler can be clearly measured in reduced employee time per transaction, enhanced revenue due to improved customer service, and better utilization of company assets. Additionally, staff efforts ordinarily devoted to manual tasks can be redirected to far more productive company activities, many of which can improve revenue and cut unnecessary overhead.

So get rid of the paper! Look into a technology solution from Routeware and see how you can benefit from the power of automation.

That tool is DriverPort® from Routeware.

DriverPort lets you examine performance from any angle. You can get a report card that grades every one of your drivers. You can rank your team and see who is leading the pack and who needs improvement. You can easily compare a driver’s performance over time, as well as measure your crew against a route “gold standard” that you set. Graphs and charts make it easy to spot trends and deliver the information you need to take action and boost productivity throughout your ranks.

DriverPort transforms the driver/management relationship. It replaces anecdotal performance measurement with objective data that both sides can use and trust; statistics like Pickups per Hour and Average Landfill Time. This levels the playing field and gives you the “arm’s length” impartiality you need to approach any performance-related issue.

Whether it’s problem drivers, star performers, or franchised vs. open market measurement, you can now track performance at a level never before seen in the waste industry.

If the computer is expandable like Routeware’s Rcore® unit, you can add digital cameras on the truck that will store photos with each customer record. How can these cameras help your hauling operation?

First, they can help you uncover hidden revenue. A photographic record of all extra trash picked up at a customer site provides objective, irrefutable proof of service, making it easier to charge customers for the extra material. Also, customers who know there is pictorial evidence of their extras are far less likely to dispute the additional fees. Finally, digital photos of extras give your sales staff a great opportunity to upsell customers to more frequent service and/or larger containers, bringing additional revenue right to your bottom line.

Cameras can also be used to photograph competitive situations such as new construction or poor service rendered by another hauler. You can turn those photographic leads over to your sales staff, who can use them to help close additional business.

Digital cameras also provide absolute service verification. You’ll have an impartial record of exactly what took place at the customer site. Blocked containers, no setouts, and locked gates can all be photographed and sent to the back office in real time, where your customer service staff has instant access to what the driver encountered.

Safety issues can be effectively addressed with digital cameras. Photographs can be taken of damaged containers too risky to lift, icy or muddy road conditions, unsafe pick-up locations—even belligerent customers who pose a safety threat to the driver. Combined with text comments on the unit, you’ll have a complete record of any safety concern that may need post-route follow-up.

Digital cameras can also protect you against complaints about damage to roads, driveways, and landscape. By photographing the pre-existing condition of the site, and backed up with timestamps and geocordinates, you’ll be able to show that the damage was there before your driver arrived.

With built-in revenue enhancement and real-time transmission capability, cameras offer a great return on investment while delivering better customer service and absolute verification. If you’re looking for a way to make your hauling operation leaner and tougher, digital cameras can be a powerful addition to your on-board arsenal.

In what areas can the system pay for itself—and bring the highest benefit to the organization?

1. Maximization of route revenue. If an automated system paints a detailed profile of all route activity, it follows that price increases or payment for the actual service rendered is fully justifiable and no longer subject to interpretation or speculative guesswork. Objective data, not anecdotal information, becomes the basis for accurate customer pricing.

2. Drive down the real operating costs associated with waste collection, transportation and disposal. Using the data collected from the field, haulers can gain a window on the micro-metrics of the route never before seen—statistics like time at customer, landfill dwell time or off-route versus on-route analytics. Real-time alerts keep the fleet productive, reducing hourly truck and driver rates, and preventative maintenance alerts prevent field breakdowns, putting the proverbial fence at the top of the cliff instead of the ambulance at the bottom.

3. Increased fleet and driver safety. Technology can bring a multitude of important safety advantages to the hauling operation. By monitoring the driver and his activities, mandated driver activities can now be fully enforced. Additionally, haulers can now see if vehicles are being handled in accordance with company safety policies. Real-time dashboards can alert management to excessive speeding, acceleration and deceleration infractions, and improper PTO and hydraulic arm use (e.g., alerts when the vehicle is moving while the arms are up).

4. Improved customer service. With real-time information on the route, customer service agents now have the information they need to effortlessly answer customer inquiries about service levels and billing. Shorter call times, more accurate call information, and fewer driver interruptions are all benefits that can be realized by the system.

Each of these areas above can be statistically benchmarked and tracked, yielding a financial analysis that can clearly identify revenue increases and cost reductions. From there, the payback period for the system can be calculated—and should be measured in terms of months, not years. With a strong ROI, the decision to invest in an automated route management system such as that offered by Routeware is made easier and more justifiable, leading to a transformed hauling operation that is leaner, tougher, and more profitable.

Soon, the convention center here in Atlanta will revert to a huge empty hall and what was Waste Expo will be in crates and boxes headed to all corners of the country.

What will remain is the enthusiasm we generated, both within the industry and within the hauler base. Through countless demonstrations and terrific conversations, we debuted our new product offering--Rcore™, DriverPort™, and VehiclePort™--to an excited and receptive industry. Great ideas were exchanged, partnerships were formed, and new opportunities were generated.
A cornerstone benefit of Routeware's on-board computing solution is the
dramatic improvements in route efficiency and productivity the system
brings to waste haulers. To track this improvement, companies must be
able to benchmark their routes prior to system deployment and in the
weeks and months following.

To accomplish this, Routeware has teamed with LinLar Enterprises, one
of the waste industry's premier experts in route analysis. LinLar
brings years of expertise in this field, having helped haulers of all
sizes benchmark and improve their route performance. This partnership
will bring haulers a new level of insight into the nuances of their
routes, leading to bottom-line savings and greater utilization of their
three key assets: drivers, vehicles, and routes.
For two days, executives and consultants from the waste industry gathered to discuss the direction of the industry in a post-recessionary environment.
In each of the session, several clear trends emerged.

- The industry remains committed to a “best practice” approach to all aspects of waste hauling, from safety to improving routes to driver management.
- Waste haulers are more than willing to use technology to address their operational challenges, so long as these solutions are relevant, cost-effective, and can show a clear ROI.
- Haulers are constantly looking for innovative ways to improve customer service and welcome any tool or technology that will enhance the customer experience.

As we digest the valuable and insightful content from the conference, the Routeware team is grateful to the attendees and guest speakers for their participation.
